This Privacy Policy explains how Mars AI Technology Solutions Limited collects, uses and protects your personal data when you visit www.marsai.co.uk or work with us.

1. Who we are

Mars AI Technology Solutions Limited is a company registered in England and Wales under company number 14863498, with its registered office at 71-75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom. In this policy, "Mars AI", "we", "us" and "our" refer to that company.

We are the controller of the personal data described in this policy. It covers our website at www.marsai.co.uk and the enquiries, projects and managed services we handle. Where we process personal data on a client's documented instructions as part of a service, we act as a processor and the client's own privacy notice applies to that data.

2. Data we collect

We collect only the data we need to run the website and deliver our services:

  • Identity and contact data: your name, email address, company name and country when you submit a form or otherwise get in touch.
  • Enquiry and project data: the content of messages you send us through our contact forms or the chat widget, and materials you share with us during a project.
  • Billing data: the details needed to invoice clients, such as billing address and tax information.
  • Technical data: IP address, browser and device information recorded in server and security logs to keep the site secure.
  • Usage data: aggregated page analytics, collected only if you opt in to analytics cookies.

We do not ask for special category data, and we ask you not to include it in messages you send us.

3. How we use data

We use personal data to:

  • respond to enquiries and prepare quotes;
  • deliver, invoice and support the services our clients have ordered;
  • keep the website and our infrastructure secure and prevent abuse;
  • understand how the site is used and improve it, only where you have consented to analytics;
  • meet our accounting, tax and other legal obligations.

We do not sell personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects.

4. Legal bases (UK GDPR and EU GDPR)

Under the UK GDPR, and the EU GDPR where it applies to visitors from the European Economic Area, we rely on the following legal bases:

  • Performance of a contract: handling your enquiry before a contract and delivering services under it.
  • Legitimate interests: keeping the site secure, preventing abuse and corresponding with business contacts, always balanced against your rights.
  • Consent: analytics cookies and any marketing communications. You can withdraw consent at any time.
  • Legal obligation: keeping accounting and tax records.

5. Cookies and analytics

The website shows a consent banner that lets you accept all cookies, reject everything that is not essential, or customise your choice per category. Essential cookies keep the site working and cannot be switched off; analytics tools load only after you opt in.

The full inventory of cookies and similar technologies, with durations and a control to change your choice at any time, is set out in our Cookie Policy on this website.

6. Bot protection (reCAPTCHA)

We use Google reCAPTCHA v3 to protect our forms from spam and abuse. reCAPTCHA collects hardware and software information, such as device and application data, and sends it to Google for analysis. Its use is subject to the Google Privacy Policy and Terms of Service.

reCAPTCHA loads only after you consent to analytics. If you decline, our forms still work; we simply apply stricter rate limits to unverified submissions.

7. Data sharing and processors

We share personal data only with service providers who help us run the website and deliver our work, under contracts that restrict what they may do with it:

  • Hosting and infrastructure providers operating our EU data centres in Germany and Finland.
  • Network, content delivery and security providers that sit in front of our websites.
  • Google, for reCAPTCHA bot protection and, where enabled and consented to, analytics.
  • Payment and banking providers, for invoicing and receiving payments.
  • Professional advisers such as accountants, lawyers and insurers, where necessary.

We may also disclose personal data where the law requires it, for example to public authorities acting within their powers. We do not sell personal data.

8. International transfers

Our primary hosting is in the European Union, in data centres in Germany and Finland. Some providers, such as Google, may process data outside the UK and the EEA.

Where personal data leaves the UK, we rely on UK adequacy regulations or appropriate safeguards such as the International Data Transfer Agreement (IDTA) or the UK Addendum to the European Commission's Standard Contractual Clauses.

9. Your rights

Subject to the conditions in data protection law, you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected and incomplete data completed;
  • have your data erased in certain circumstances;
  • restrict or object to certain processing, including any direct marketing;
  • receive the data you provided to us in a portable format;
  • withdraw consent at any time, without affecting processing already carried out.

To exercise any of these rights, contact us using the details below. We respond within one month. You can also complain to the Information Commissioner's Office at ico.org.uk or, if you are in the EEA, to your local supervisory authority.

10. Data retention

We keep personal data only as long as we need it for the purposes described above. Enquiry correspondence is reviewed periodically and deleted when it is no longer needed. Records connected to contracts, invoicing and tax are kept for six years after the end of the relevant financial year, as UK law requires.

Your cookie consent choice is stored for 180 days, after which the banner asks again.

11. Children's data

Our website and services are aimed at businesses and are not directed at children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.

12. Updates to this policy

We may update this policy from time to time, for example when we add a service or change a provider. The date at the top shows when it was last revised. If a change materially affects how we use your data, we will highlight it on the website.

13. Privacy contact

Questions, requests and complaints about personal data can be sent to our privacy team at [email protected], or by post to Mars AI Technology Solutions Limited, 71-75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom.
